MEETING OF THE CEMETERY AND ALLOTMENT COMMITTEE
Ilex lane Cemetery, on Thursday 25th May 2006 at 9 30 a.m.
There was no quorum present but due to the urgent items to be considered a site meeting took place, decisions to be ratified by the Parish Council at the June meeting

3] Minutes from previous meeting 3/3/06.These had been accepted as a correct record at the 16/3/06 meeting of the full Parish Council.

The situation re removal of hedge between railway walk and Cemetery site had been stated at Full Parish Council meeting18/5/06
Procedure for lease now in hands of solicitors at N Somerset Council
With approval of Parish Council Chair and vice chairmen ,a letter to be sent urgently to Strawberry line Management Committee formally protesting at the unauthorised removal of hedge between the allotments and the walk leaving the area exposed, insecure and vulnerable
Concerns were
a] Lease not yet received, Parish council agreed I metre only, 25years.
What happen after 25 years?
b] Details of hedging. Height, when to be planted, Species, Bare root/ pot grown
c] Marker posts could be removed. Exact position of hedge / fence
d] Harris fence more than 1 metre from path.
Fence in next field more than 1 metre from path
5] Trees
Prunus cerasifera ‘Hesei’.No reply, as yet, has been received to letter sent to Mrs Wosfield re the condition of this tree she has not responded to phone calls.
Sorbus aria ’Lutescens’ Request by Mr Chandler to plant tree in memory of his Wife Grave 203, on dividing fence by field at end of line of box hedge. Permission should be given with responsibility to Mr Chandler for planting and maintenance
6] Cemetery and field Parish review sheet 5 completed for audit and risk assessment. Round seat needs attention
7] Garage. This is the only secure storage space owned by Parish Council
The award land committee should be allowed to store repainted artefacts but no other organisation should be permitted to use these storage facilities
8] Conditions for Cemetery were reviewed
The order should be changed with no 5 being no1 and written in bold
THE PARISH COUNCIL HAS OVERRIDING AUTHORITY TO PERMIT OR REFUSE WORKS TO ANY PLOT
9] Allotments. Parish review sheet 6 completed for audit and risk assessment.
Plot 13a .No evidence of recent cultivation. Clerk to write 3rd letter to tenant giving him 14 days to clear plot otherwise the plot will be strimmed He is breaking conditions of tenancy.
Mr Green will be asked to do the strimming if needed, also trim beech hedge and remove suckers around tree and base of hedge and strim weeds on the dividing fence
between cemetery and allotments
10] Towerhead Inquiry
Those present expressed concern that Ilex lane was mentioned as part of this inquiry and support those people who are pursuing this issue on behalf of the Parish Council.
11] Churchyard inspections. A copy letter from Harriet Harman MP to John Penrose MP will be issued to all committee members and is available to view at the parish office New national guidelines are being drawn up
12] Future plans. The use of the field as an extension to the cemetery will need considerable planning with financial implications.
APRIL 07 when the new Parish Council are in place, the new committee must make discussions and decisions a top priority
13] AOB. The Cemetery Orderly will shortly be moving to Hutton. Whilst she is happy to continue with her duties, a request for a travelling allowance has been made. This matter should be considered by the Parish Council.
There will need to be additional meetings of the committee shortly to look at the issue of the strawberry line path . The chairman needs to be appointed
